CSC meeting at Purple Palace in Lincoln, MA 12:00-5:00

Agenda: The agenda was to set an agenda. The following is the result of a pop corn session (Line items preceded by a number initially made it to the first part of the meeting's agenda).

History/Status (presented by Bill McCarthy): History - We didn't have a camp from Aug '95-Dec '95. In Dec. the other camp owners convinced the Ropers that they would lose a lot of money if they expanded in '96 so they reconsidered and signed us up for another year. Between Aug & Dec people looked for a new camp from the list of accredited camps. All camps they checked out did not work out. Privacy at lake, large land very difficult to find. Start from scratch? Money? Manpower? The site search last year uncovered nothing.

Status: (1) Omni has offered us the last 9 days only for '97. Two of the three owners want out. Ropers are lead owners. They make decisions. Their one week offer will have set up time. A partnership with the Ropers would be troublesome. Bill McCarthy would quit. Ropers aren't interested in a partnership with us. (2) The Connecticut YMCA camp, High Rock in Western Massachusetts, is a maybe. They might move their camp time to accommodate us. Capacity of 500 - one week only. Great space!! 3 small dance spaces. Bill McCarthy thinks they will say no. (3) Maybe we could find two camps that together can handle us for whatever our stay is, close enough for commuting between them (4) Finding two sites near each other each available one week and moving from one to the other. (There is late breaking news - Paul F. & Margaret F. have visited another camp in Connecticut that looks very promising. They will report on it at the Nov 3 meeting.)

Bill suggested that we separate the immediate needs from the long term needs. The site search must happen immediately for next summer. We have a more time to discuss our long term needs. Reps must know immediately whether we're willing to do immediate site search. (Omni costs us roughly $17,500 in rent and $3,000 in other costs.)

Notes from Vision Council: Tabled until ALisa types them up. She will bring them to next meeting.

Proposal form summer camp: We discovered that we did not have a copy of the summer camp proposal(s) that were finally approved at each of the community meetings. Diane will research and attempt to compose the first week proposal and C.T. do the same for the second week proposal.

Paul's proposed agenda: It was read aloud. Generally folks felt the agenda was an excellent start and thanked Paul for his work. Using this agenda and our pop corn suggestions, four volunteers will come up with the Nov 3 agenda. Paul Freundlich, Bill McAvinney, Kenny Schachat and Dena Gartenstein volunteered to work together on this.

Rep needs: In order for reps to put on next year's camp, they need a commitment, plan and volunteers to search for rental next summer by the end of this meeting. We can't have summer camp if not rented by... We need a drop dead date from reps. (end of December)

More agenda work and a couple of naming conventions discussed and decided on: The overall committee will be called the Community Search Committee (CSC). The leadership will be called the Coordinating Group (CG).

Short term needs - Site search for Summer Camp '97 subcommittee: Is CSC going to have this subcommittee? If so, what will its role be? We went around and heard each person in the group. Out of the 23 people, 21 wanted a subcommittee, 1 person wanted to just take the Omni offer and 1 person wanted to cancel camp for '97. We reached consensus on the following subcommittee:

Site search for summer camp '97 as a subcommittee to CSC but answerable to the reps. They will acknowledge the ongoing work of the reps, offer support of that process and act as liaison to CSC.

The following people volunteered to be on this committee: Carolyn, Bill Bassett, Bill McCarthy, Sylvia, Lori, ALisa, Paul Freundlich. Anne Moss & Michael Beattie volunteered later. We are hoping that a few people involved last year will be involved again this year: Cheryl Ann Luft, Ken Foo, Matthew Weinburd, Paul Marienthal. If there are any others who could volunteer it would be very appreciated.

Structure & Function of CSC: Well, folks things kind of fell apart when we attempted this topic. It is the personal opinion of the note taker that this topic was just too broad. But we did decide that a few people should volunteer to create an agenda, using Paul's proposed agenda as a beginning, for our next meeting. Bill McAvinney, Kenny, Dena & Paul F volunteered.

Committees: Never got to it.

Next meetings: Nov 3, 1996 12 noon - 5:00 PM Paul & Margaret's home in Higganum, CT. Nov 10, 1996 10:30 AM-12:30 PM at the Boston Dance New England weekend.

Evaluation: An agenda is essential for a meeting of this size. The two co-facilitators did a monumental job under the circumstances.
