As soon as date and tentative agenda are set, alert potential participants. Ask if they plan to use overheads, computers, handouts... 4. Thursday before the Tuesday meeting, contact participants again. Check again on overheads, etc. 5. When someone says they are going to use overheads, check on the overhead projector. 6. Friday (or over weekend) send out reminder to Ilead. Agenda structure includes: 30 minute Social Time xx minute Presentation Joe Schmoe 10 minute Announcements (Sign Up During Social Time) We've differentiated presentations (somewhat longer, with expected discussion) and updates (brief informative bits). I suspect we also need to have some kind of structured "brainstorming" or "facilitated discussion" format. We'll wait for an occasion to re-invent that wheel. We've talked recently about doing a plus-delta. Format would be (with a recorder) one leader forcing the pace, with a very defined time limit. Key to making this work is to aggressively take the comment, rephrase it clearly for the recorder, and go on to the next person. Don't let anyone keep the token for more than...10 seconds? 7. Bring spare overhead sheets and pens. 8. Bring a flipchart 9. Minutes. We need them, we need them, we need them. And apparently most people hate taking them.
