Basically we are talking about a FAQ. This is an attempt to consolidate answers that people in OSP ask often... this would be a repository of information that is correct. 

 The process is as follows.

An OSP person ('Originator') has a question about policy/procedures and identifies an 'Owner/Answerer' for the question.( This happens outside of drupal)

The question is entered into Drupal (could be entered by Originator or by Owner).

The question is answered.  There will probably be some editing, so it's not necessarily done all at once.

Questions are categorized by pre-defined categories.

Questions/Answers should be searchable

There should be some method to find questions that have not been answered.

Once question has been answered, based on the timestamp of the answer, we want a trigger that will (perhaps annually) fire off an email to owner that the question/answer may need to be updated.

There are certain fields that are required in the content:
  Trigger event - description of the event that needs an answer
  Question
  Answer
  References
  Limitations
  Knowledge Experts
  Stakeholder
  Owner
  Originator
  Date question was entered
  Date question was answered

Testing

Login and logout (when we go live this will be by certificate)

Go to http://osp.mit.edu/intranet/ to log in
Click on OSP Question Archive

To log out, and log in as another user, go to http://osp.mit.edu/intranet/logout

My Questions Tab – displays questions where logged on user is the owner
Unanswered Tab – displays unanswered questions (questions with no answer date)
Unassigned Tab – questions with no owner
Stale Tab – questions that have not been edited for 365 days since creation

Relevant roles and users:

OSP Staff role

Permissions:

• can see all questions
• can add new questions
• can edit questions if logged on user is the owner or creator
• can see ‘My Questions’ tab
